Guidelines for authors


Guidelines for preparation and submission of these files are available in PDF and in DOC form, and as unformatted text in this page.

This guidelines contains information for authors of oral and posters presentations. All authors should submit are an introduction page as well as paper, to be published in the electrical proceedings (with ISBN number) of FiberMed11 (CD or a memory stick). The final paper should be original and not published before in this form. At least one person per final paper has to register and pay for the FiberMed11 Conference by 28th February 2011.

Papers should be written in English and be prepared in accordance with these instructions. Papers should be provided in DOC(X) or PDF format as they are to be copied into the proceedings, which will be distributed at the beginning of the Conference. By sending the final paper, writer gives his/her permission to publish the final paper in the conference material. These guidelines also gives information concerning submission of presentation files for authors of oral presentations as well as information concerning poster sessions.

1 BASIC INFORMATION

The title of the paper is centered at the top of the type area using Arial 14 points letter size. Type the name (first the initials and the last name) and affiliation of the author(s) also centered and using 12 and 11 point types, respectively. Affiliations are highlighted with italics and presenting author with underlining. Email address of presenting author can be included below the affiliation.

Conference details “FiberMed11 28-30 June 2011, Tampere, Finland” are included in Heading using 10 pt.

2 MAIN HEADINGS

Formatting for main headings is 12 pt, capital letters, bold. “Abstract”, “References” and “Acknowledgements” headings are formatted as Main Headings, but are not numbered. Numbered Main Headings include preferably “Introduction”, “Experimental”, “Results and Discussion” and “Conclusions”.

The guidelines file available in MS Word form contains used Heading Styles. It can be used as a template or corresponding formatting can be done manually to other document.

2.1 Secondary Headings

Formatting for secondary headings is 12 pt, italics, bold. Use secondary headings for sub-paragraphs.

2.1.1 Tertiary Heading

Formatting for tertiary headings is 12 pt, italics. Do not use more than three levels of headings.

3 TEXT AND FORMATTING

The recommended paper length 5 pages including figures and tables (maximum 8 pages). The use of SI units is required.

3.1 Normal text

Normal text is written using Arial font (11 points), line spacing 1, justified alignment (align the text to both left and right margin) and without any indentation of the first word of paragraph.

Leave small cap between paragraphs either using line space or using formatting of Styles.

3.2 Margins

Papers must be typed with using 2 cm margins in left and right and 3 cm margins in top and bottom.

3.3 Figures and Tables

Tables and figures are numbered continuously. Table titles are above the table and figure titles below the figure. Figures and tables as well as their titles are centered. Formatting for title in 11 pt, italics and type of object and number also bold.

3.4 References

References are marked within the text in square brackets and numbered in order [1]. List of references including full details (name, author, journal/book, volume/number, pages etc.) is presented in the end of the paper [2].

4 AUTHOR INTRODUCTION

Introduction page, a kind of short CV, of authors (oral and poster) is included into conference proceedings. This should include information needed by session chairs for introductions, but it can also include, for example, picture and other information which author(s) wish to share with audience. Depending on the wishes of author(s), it can introduce corresponding and/or presenting author as well as whole research group. Length of introduction is one A4 per presentation.

5 SUBMISSION OF FILES

Paper and introduction page submission shall be made electronically via abstract submission system. The accepted file formats are MS Word and PDF. File names should include abstract code (given to the corresponding abstract by the abstract submission system), the last name of the presenting author as well as the document type. Examples "ID3177_Smith_paper.doc" and "ID3177_Smith_CV.doc"

The deadline for submitting the final papers is April 28, 2011. Please note that organizers cannot ensure that papers with incorrect name or papers submitted after the dead-line will be in the proceedings.

6 PRESENTATION INFO

6.1 Oral presentations

The length of the oral presentation at the conference should not exceed 20 minutes (15 min. + 5 min for questions/discussion). Each lecture room is equipped with PC laptop computer, one data/video projector and one large screen. The native resolution of the projector is 1024 x 768. The software installed on the computer includes:

Windows Media Player

Skype

WinDVD

Presentation materials (slides, videos ect.) should be sent prior to conference in order to ensure its compatibility with our presentation equipment. Authors can make last minute changes and update their presentation at the venue in the Speaker Service Room. It is recommended that you use the computer of the lecture room, but use of own computers is also possible. If for some reason you are unable to use the computer of the lecture room for your presentation, you are requested to arrive at the lecture in good time before the occasion. Mac users should bring with them their model-specific external display adapter for 15-pin VGA (D-sub15) -connector.

Presentations should be sent as e-mail attachment to send.presentation@tampere-talo.fi (or on CD to Tampere Hall, AV Services, Yliopistonkatu 55, P.O. Box 16, FIN-33101 TAMPERE, FINLAND). Presentations should be submitted together with relevant contact details at the latest 23rd June.

Please notice following:

In the case your MS PowerPoint-presentation contains videos, please ensure that both files (powerpoint and video files) are included in your e-mail or on the CD.

The subject line or message body of e-mail messages should include the name and date of the event for which the attached presentation is intended.

In order to avoid errors, the file of the presentation should be saved with the name of the presenter and the date of presentation. (avoid names like tampere_2010.ppt)

After the compatibility of the presentation has been checked, the sender will be sent a confirmation

6.2 Poster Presentations

The size of the poster board is 100 cm x 125 cm (width x height). They are attached with pins provided by conference venue. Authors are expected to bring their poster with them; organizers do not provide poster printing service.

Poster exhibition is located in second floor of Tampere-talo near by the Small Auditorium and restaurant area used in coffee and lunch breaks. Poster exhibition is continued throughout the conference. It is set up in 28th June before noon (help is available in exhibition area between 10:30 and 12:00) and cleared up in 30th June after the Closing Ceremony. Presenting authors should be present in predetermined poster sessions either in Tuesday 28th or Wednesday 29th (list of the presenting authors of each session will be provided in Conference Programme to be published in spring).
