Publication Procedure

The Conference has adopted two step publication procedure

1. Publication of the papers in the conference preprint - papers accepted by blind review (three reviewers)

2. Publication of the final conference journal (re-review if critical comments are given in the conference)

The final proceedings have been published by IOS Press, Amsterdam, in the series of "Frontiers in Artificial Intelligence and Applications".

Submission procedure step by step

For all phases the EJC Paper Portal (http://www.mdbl.sfc.keio.ac.jp/ejc2012review/) is used. The portal is maintained by Keio SFC.

Step 1. Author and paper registration   

The author will registrate the paper by using the "Abstract Submission Interface" in the EJC Paper Portal. In the registration phase

  • the author(s) give required contact and paper information, including the paper abstract;
  • as a response a unique paper code  and a password for further communication is given by the system. 

The paper code and password (= login information for the next steps) for further is also given by email. Because of that check carefully the validity of the email address registered to the system.

Please, do your paper registration only once to avoid confusion in the paper management process.  

Step 2. Submission a paper for review

The paper will be uploaded to the EJC Paper Portal according to the instruction given below:

  • Prepare your paper using Word or TeX according to the formatting instructions included in the zip packages:
  • Produce PDF-file of your paper to be submitted for review; the file name of your paper must be Pnnn, in which nnn is your paper number in three digit format - e.g. paper number 34 is submitted as a file P034.pdf
  • Login to the EJC Paper Portal by using the "Paper Submission Interface". In login please use your paper code and password given by the system as login information;
  • Upload your paper to the system according to the guidelines given in the EJC Paper Portal

The paper may be re-uploaded - the latest upload is valid.

Step 3. Submission the "conference version" of the paper

The author are expected to improve the paper according to the comments of the reviewers. The final "conference version" of the paper will be submitted according to the instructions given below and by taking into account the page limits of the paper category (full / short / position):

  • Improve your review version of the paper (Word or TeX) according to the comments and instructions of the reviewers; 
  • Formatting rules are the same as in the submission phase. Accepted formats are Word and TeX, formatting guideleines are   included in the zip packages:
  • Prepare a zip-package including the following items:
    • Word: (1) main source file and (2) pdf-file of the paper; the file names inside the zip package are derived from the paper number in three digit format - e.g. the zip package of paper 34 includes files P034.doc and P034.pdf. The naming of the zip package follows the same naming convention - in the case of paper 34 the zip file is P034.zip.
    • TeX: (1) a directory including TeX source and style files, and (2) a pdf- file of the paper; the directory including TeX files has name Pnnn-texfiles and the pdf-file has name Pnnn.pdf, in which nnn is paper number in three digit. In the case of paper 34 the zip package has file name P034.zip. It includes a directory P034-texfiles and the file P034.pdf.
  • Login to the EJC Paper Portal by using the "Paper Submission Interface". In login please use your paper code and password given by the system as login information;
  • Upload your paper to the system according to the guidelines given in the EJC Paper Portal

 

The zip-package may be re-uploaded - the latest upload is valid.

Step 4. Submission of the final paper

The author has an opportunity to improve the paper according to the discussions and comments given in the conference. The papers accepted in the "Position Paper" category are re-reviewed by the programme committee before acceptance to the final print. Only those papers that are presented in the conference are accepted to the final publication.

Submission procedure of the final version of the paper is the same as in the Step 3 above.

The programme committee has right to withdraw the paper, if the guidelines to improve the paper are not followed or if it does not follow the page restrictions and rules given to prepare the paper. The programme committee has also right to withdraw the paper that is not uploaded to the paper management system for final editing inside the given time frame.

SOLVING the LaTeX Problem

Please use

instead of mathtime. The mathtime package seems not to be completely ready yet.  It has a number of flaws for mathematics and formulas and is not  compatible with many other LaTex style files.
